How we collect, use and protect personal data for candidates, clients and visitors to this website.

Who we are

Talent Media is a specialist headhunting, CV writing, LinkedIn profiling and recruiter training business based in the United Kingdom. In this policy, Talent Media, we, us and our refer to Talent Media. We are the data controller for the personal data described here.

The information we collect

We only collect what we need in order to provide our services and to run this website.

  • Candidate information: name, contact details, location, job titles, employment history, qualifications, salary and benefit expectations, notice period, right to work status, and anything else you include in your CV or LinkedIn profile.
  • CV uploads: the file you upload for registration or for an AI CV review, together with the feedback generated from it.
  • Client information: name, job title, company, contact details, hiring requirements and correspondence.
  • Purchase and booking information: the service booked, appointment time, amount paid and payment status. Card details are handled by our payment provider and are never stored by us.
  • Newsletter and enquiry information: email address, name and the topics you tell us you are interested in.
  • Website usage information: pages visited, searches run on the site, referring page, approximate location, browser and device type.

How we use your information

We use personal data to:

  • Match candidates to live roles and represent them to potential employers, always with their agreement before any details are shared.
  • Deliver CV writing, LinkedIn profiling, AI CV feedback, recruiter training and market mapping services.
  • Manage bookings, take payment and send confirmations.
  • Provide salary, benefit and hiring trend information to clients and candidates.
  • Send our newsletter and relevant job or market updates where you have asked to receive them.
  • Respond to enquiries, keep records of our work and meet our legal and accounting obligations.
  • Improve the website and understand which content is useful.

Our lawful bases

Under UK GDPR we rely on legitimate interests to carry out recruitment activity, contact professionals about relevant opportunities and run our business, always balanced against your rights and interests.

We rely on contract where we are delivering a service you have booked, on consent for marketing emails and for optional cookies, and on legal obligation where we must keep records for tax, right to work or dispute purposes.

Where a CV includes special category information, for example health or ethnicity, we only process it where you have clearly chosen to include it and it is necessary for the service. You can ask us to remove it at any point.

AI CV feedback

If you use our AI CV review tool, the text of your CV is sent to a third party AI provider so that structured feedback can be generated and returned to you. It is used only to produce your feedback. It is not used to train public models and it is not shared with clients.

AI feedback is guidance, not a guarantee of interviews or offers. You remain responsible for the final content and accuracy of your CV.

Who we share information with

We share candidate details with a client only after the candidate has agreed to that specific introduction. We never sell personal data.

  • Clients and hiring organisations, where a candidate has consented to an introduction.
  • Service providers who help us operate, including our website and database hosting, email delivery, payment processing, scheduling and AI feedback providers, all under contract and only for the purposes we set.
  • Professional advisers, insurers and regulators where we are required to do so, or where it is necessary to establish or defend a legal claim.

International transfers

Some of our providers process data outside the United Kingdom. Where that happens we rely on adequacy regulations or on the International Data Transfer Agreement or the UK Addendum to the EU Standard Contractual Clauses, together with appropriate technical safeguards.

How long we keep it

We keep candidate records for up to 24 months from your last contact with us, after which they are deleted or anonymised, unless you ask us to keep them for longer or a placement means we must keep records for legal reasons.

CV files uploaded for AI review are retained only as long as needed to deliver the feedback and are then removed. Client and financial records are kept for 7 years to meet accounting requirements. Newsletter data is kept until you unsubscribe.

Keeping your data secure

Access to our systems is restricted, protected by authentication and row level access rules, and data is encrypted in transit. Payments are processed by a PCI compliant provider, so we never see or hold your card number. No system can be guaranteed to be completely secure, but we take these responsibilities seriously and review them regularly.

Your rights

You have the right to ask for a copy of the personal data we hold about you, to have it corrected, to have it deleted, to restrict or object to how we use it, to withdraw consent at any time, and to ask for your data in a portable format.

The quickest way to exercise any of these rights is our data request form at /data-request, or you can email hello@talent-media.co.uk. We will respond within one month and may ask you to confirm your identity first. If you are unhappy with our response, you can complain to the Information Commissioner's Office at ico.org.uk.

Cookies and analytics

We use strictly necessary cookies to keep the site working, and optional analytics and marketing cookies only where you have agreed to them. When you first visit we ask for your choice, we store it in your browser for six months, and nothing optional is set until you accept.

You can change or withdraw your choice at any time using the Cookie preferences link in the footer, or by clearing cookies in your browser settings. Blocking strictly necessary cookies may stop parts of the site working as intended.

We may update this policy as our services change. The date below shows when it was last reviewed, and any significant change will be highlighted on this page.
